Free Property Inspection Checklist and Condition Report
Use this checklist for a systematic visual record of a home, apartment, commercial unit, or managed property. It helps organize observed conditions and maintenance follow-up; it is not a substitute for a qualified building, engineering, environmental, or regulatory inspection.
Property areas to include
- Site and exterior: access, grading, drainage, visible envelope, roofs where safely observable, doors, windows, balconies, rails, and external equipment.
- Interior rooms: ceilings, walls, floors, doors, glazing, fixed joinery, outlets, lighting, heating or cooling, and visible moisture signs.
- Wet areas: fixtures, seals, ventilation, water flow, drainage, cabinetry, and visible leakage or staining.
- Building services: accessible panels and equipment, labels, controls, alarms, obvious damage, and recorded test status within your scope.
- Shared or ancillary areas: stairs, corridors, parking, storage, plant rooms, landscaping, and amenities where relevant and authorized.
How to use the checklist

Record whether this is a baseline, routine condition, maintenance, handover, acquisition, or move-out inspection.

List inaccessible rooms, concealed conditions, systems not operated, and any specialist areas excluded from the visit.

Move exterior to interior and room by room, using the same ceiling-to-floor sequence.

Describe and photograph findings
State exact location and visible condition; pair context and detail images when evidence is helpful.

Separate urgent risks, maintenance, monitoring, and items needing assessment by a qualified professional.
Example condition entry
First-floor bedroom, northeast corner below window: irregular paint blistering and brown staining extends approximately 300 × 180 mm. Surface felt dry at 10:15 on 14 August 2026; no invasive testing performed. Property manager to arrange moisture-source assessment before cosmetic repair. Priority: High.
This entry distinguishes observed evidence from an unconfirmed cause and records the inspection limitation. If active leakage, unsafe electrical conditions, gas odor, structural movement, or another urgent concern is suspected, use the appropriate emergency or qualified-professional route immediately.
Choose meaningful priorities
- Urgent: immediate safety concern, active water entry, loss of a critical service, or rapidly worsening damage—escalate promptly.
- High: condition likely to cause significant damage, access loss, or service interruption if delayed.
- Routine: normal maintenance or repair that should be planned and tracked.
- Monitor: no immediate work confirmed; record a baseline and a date or trigger for reinspection.
